Autopilot mode

Your email inbox.
Automated.

Recruitment AI monitors your email inbox, identifies recruitment actions in incoming messages, and executes them in the CRM. Interview booked. Placement recorded. Candidate updated. You didn't touch the system.

How autopilot works

Read. Understand.
Execute.

Every email that arrives in your connected inbox is read and classified. If it contains a recruitment action — an interview request, a placement confirmation, a withdrawal — the system identifies what needs to happen in the CRM.

Based on your settings, it either executes those actions immediately or presents them for your approval. Either way, the CRM work is done.

Nothing happens without a confirmation mechanism. You control what runs automatically and what requires a review step.

Control and approval

Nothing happens
without your say-so.

Autopilot has two modes. In review mode, every identified action is presented to you before execution. You see the email, the proposed action, and approve or dismiss. In automated mode, you configure which action types run without intervention.

Most agencies start in review mode to build confidence, then automate the routine actions once they trust the classification accuracy. Ambiguous emails are always flagged for review regardless of settings.

Review mode
All actions presented for approval before execution. Full visibility, no surprises.
Automated mode
Configure which action types run automatically. High-confidence classifications execute; ambiguous emails are flagged.
Audit trail
Every automated action logged: source email, action taken, timestamp, user (system) that executed it.
Per-client exclusions
Exclude specific email addresses or domains from autopilot if you prefer manual management for certain relationships.
FAQ

Common
questions.

What if it misreads an email?

Every action has a confirmation step before it's executed. In standard mode, suggested actions are presented for your approval. In autopilot mode, you set which action types run automatically and which require review. Ambiguous emails are flagged for manual review rather than actioned.

What gets automated vs what gets flagged?

You configure this. Clear, unambiguous actions (a confirmed interview time, a straightforward placement confirmation) can be set to run automatically. Anything involving money, sensitive data, or ambiguous intent is flagged for review by default.

Does it work with Gmail as well as Outlook?

Yes. Autopilot connects to both Outlook and Gmail. The inbox monitoring and action execution work identically across both.

Can I see what it has done?

Every action taken by autopilot is logged with the source email, the actions executed, and the timestamp. You have a complete audit trail of everything the system has done on your behalf.

Can I turn it off for specific clients?

Yes. Autopilot settings can be configured at account level, and you can exclude specific email addresses or domains from automatic processing if needed.

What happens to emails it can't process?

Emails that don't contain identifiable recruitment actions are left untouched. Autopilot only acts on emails it can confidently classify. Everything else passes through to your inbox normally.
